The Operations Associate plays a critical role in both the front-office and back-office functioning of our firm. The Operations Associate will assist team members in preparing paperwork and ensuring every aspect of the client accounts are set up accurately and properly maintained. This role will provide ongoing service and support to clients that exceeds expectations. This includes determining what actions need to be completed to set up new accounts or perform maintenance on existing client accounts on an accurate and timely basis. Coordination of projects, training and ongoing development of improved office procedures is also required.


WHAT TO EXPECT:

  • Maintain client information in our records database

  • Process paperwork for new accounts, account transfers, contributions, redemptions and beneficiary changes and other tasks as needed

  • Assist in the preparation of materials for upcoming client meetings

  • Conduct and participate in client meetings, face-to-face, to complete required paperwork

  • Become a subject matter expert in operational policies and procedures

  • Conduct phone calls with custodians to research potential issues within client accounts

  • Assist in developing processes and procedures that enhance accuracy and streamline processes

  • Handle miscellaneous operational activities

  • Performs other duties as assigned


WHAT YOU NEED:

  • Excellent attitude and an extraordinary client service orientation

  • A strong focus on getting the details right

  • Exceptional organizational and time management skills

  • An ability to handle multiple tasks within tight time frames

  • An ability to take initiative and be proactive to enhance the client experience and operations of the business

  • Proficiency with Microsoft Office Suite

  • Knowledge of Financial Advisor office tools (i.e. eMoney, WealthBox, SalesForce, etc.)

  • Strong analytical and research skills

  • Strong verbal, written, presentation and interpersonal communication skills

  • Previous experience in the Financial Services industry

  • Interest in and knowledge of financial markets and investment securities

  • High school diploma (College degree a plus)

  • Minimum of three years professional experience

  • Attendance is an essential function
